Position within the company

As sales support employee of FTH, you interact and communicate daily with the sales managers, clients & transport companies, and report to the  CCO.


Who are we looking for?

  • Minimum a degree in MBO level 4: Commercial / Supply chain
    Management
  • Able to overview processes and likes to solve logistics challenges
  • Decent knowledge of MS-office (Word and Excel)
  • Experience working with ERP-system is a pré
  • Fluency in Dutch and English; Spanish and German is an advantage
  • Able to work independently; solutions-oriented, proactive, driven
  • Excellent communication skills; team player, able to motivate and convince colleagues and clients
  • Organized and able to organize; able to anticipate quickly
  • Flexible and accurate
  • Affinity with organic fruit


General tasks and responsibilities

As sales support employee, you manage all daily operations on the sales side to allow the sales managers to fully focus on their tasks. You are responsible for order processing and are the contact person to the warehouse and transporters FTH works with.

Daily, this means that you are responsible for the following tasks:

  • Processing assigned* purchase and sales orders. Orders need to be booked (including production assignment) when they are received in the inbox, in consultation with the account manager.
  • Preparation of production assignments according to client
    specifications, to be discussed with account manager.
  • Keep the weekly planning up to date when orders are booked.
  • Invoice handling: corrections or confirmations in consultation with Administration department, and Americold.
  • Organise retour if needed and put retour in the system according to claim procedure.
  • Assist with other back-office tasks which come across:
  • Finalise outbound, production assignments and sales orders.
  • Confirm expected goods (containers and extra purchased pallets).
  • Confirm arrival of retour pallets, contact about it with Americold.
  • Daily correspondence with Americold about sales orders, productions, incoming and outgoing goods and transport.
  • Daily contact with transport companies regarding planning.
  • Making sure that all rules and procedures regarding food safety,
    specific certifications (e.g. Demeter, Fairtrade) and daily operations are complied with, and report to the responsible person in case of non-conformities; Fairtrade fees need to be checked in all orders of fairtrade-buying clients, and communicated with QA Manager.
  • Making sure that all claims are handled in accordance to the claim procedure, and approach account managers in case of noncompliances;
  • Stock management of all stock, coordinate together with Quality
    Control;
  • Come up with improvements to all processes related to sales and order handling that can improve team and customer satisfaction.

Specific tasks and responsibilities

Banana planning

  • Prepare banana planning for the sales managers to fill in (what will be loaded the week after) and send to the ripening center. They will prepare the ripening planning and send it every morning
  • Based on the Bananalist (including the colour indication) create the orders of the day, checked with the banana planning.
  • Daily coordination with the ripening center and the sales team to deliver the desired product (ripeness, coloration).
